This project case shows how Moonly, together with the Brabant-Noord Safety Region, has innovated the permitting process for events. With a smart AI tool, organizers can have their event floor plans checked without any hassle. The result is less stress, faster turnaround times, and much more control for everyone involved in event preparation.

What is the problem?

Imagine this: you are organizing a large event. You have spent hours working on your site plan and collecting all the necessary documents. You carefully submit everything to the municipality for a permit, and then the waiting begins. Often, you hear nothing for weeks until you finally get the message that your application has been forwarded to the safety region. At that point, it turns out your forgot about a crucial detail, such as adding a wind rose to the site plan. The application cannot be processed further and is sent back, forcing you to start the whole process again. Your frustration grows, suppliers are waiting, and you lose oversight. This is the daily reality for many organizers: a slow and error-prone process that consumes unnecessary time, money and energy.

‍In the new situation, thanks to the collaboration between Moonly and VRBN, this frustration will soon be a thing of the past. Organizers can easily upload their floor plan and receive an objective check within five minutes. If something is missing, they will receive an immediate notification and can add it straight away before the application is finally submitted. This prevents delays and gives you full control over the process. ‍

The AI ​​tool makes it possible to check whether a floor plan meets all requirements within five minutes. Hardly any extra time investment is required and the chance of forgotten components, such as the compass rose, is kept to a minimum. As a result, applications no longer remain pending for weeks and you do not have to start over because of minor mistakes. For organizers, this means less stress, quick clarity and maximum control over their own application process. For municipalities and permit authorities, it saves time and prevents duplication of work. For safety regions and other involved parties, it ensures higher quality and increased safety at events.

The project is currently running in a pilot phase. Moonly is actively gathering feedback with various safety regions to further optimize the system. Municipalities will be actively involved in the next phase, as they are the starting point for permit applications. Thanks to the simple implementation, any municipality can easily participate.

What did the collaboration look like?

Every successful digitization project requires a clear plan. That's why Moonly started this journey with a blueprint process. This is a structured process in which we shape the future application together with the client, without technical confusion or assumptions.

Within four weeks, a fully developed blueprint was ready. Moonly then immediately started with the technical development, the AI ​​training, and organizing a pilot.

What’s next?

The project is currently in a pilot program with Fieldlab Zuid6. In this partnership, the six safety regions in the south of the country are collaborating on innovations in Information-Driven Safety. Moonly is actively gathering feedback from various safety regions to further optimize the system. Municipalities will be actively involved in the next phase, as they are the starting point for the permitting process. Thanks to its simple implementation, any municipality can easily join.

Once the map check is fully completed, this AI tool will form the basis for further digitization of the entire permit process. Think of tools that allow municipalities, suppliers, emergency services, and organizers to collaborate online easily, respond more quickly, and stay better informed. Moonly not only takes care of the technical realization, from implementation to hosting, security, and maintenance, but also remains involved in continuous optimization based on feedback from the field.
